What review management is

Review management is the combination of three things: knowing what is being said about you across the platforms that matter, responding to it well and quickly, and making it normal for satisfied customers to leave a review at all.

That last point is where most of the actual movement comes from. Unhappy customers are self-motivated to review; satisfied ones almost never think of it. The result is a rating that reflects your worst experiences rather than your typical one. Fixing that is not a matter of suppressing criticism — it is a matter of asking everyone, consistently, and letting the real distribution show.

How it works

1. Find every surface

Google Business Profile, the App Store and Play Store, Trustpilot, G2 or Capterra, marketplace listings, and the category-specific sites your buyers actually check. Most brands are being reviewed somewhere they are not monitoring.

2. Read the reviews properly

Before responding, the pattern matters. Recurring complaints about the same thing are a product signal, not a reputation problem, and answering them with better copy fixes nothing. We separate the reviews that need a reply from the ones that need an engineering ticket.

3. Build a response system

Fast, human responses that address the specific complaint. Not templates — reviewers and every future reader can spot a template, and a copy-pasted apology under twelve different complaints reads worse than silence. We build a framework covering who responds, how quickly, what gets escalated, and what tone holds up when the complaint is fair.

4. Ask real customers, systematically

Requests go to genuine customers at the right moment — after a resolved support ticket, a completed delivery, a successful onboarding. Everyone gets asked, not just the people you expect to be happy. Selectively soliciting only predicted-positive reviewers breaches most platforms' policies and is detectable in the pattern.

5. Watch for spikes

A sudden cluster of negative reviews usually means one of three things: a real product failure, a coordinated attack, or a viral thread elsewhere. Each needs a different response, and the first hours matter.

This is a fit if you have real customers whose experience is better than your rating suggests, or a review presence you are not currently monitoring at all. It also fits brands recovering from a specific incident that produced a burst of criticism.

This is not a fit if the reviews are accurate and the product is the problem. No amount of response management fixes a rating that reflects reality; it just documents the gap more publicly.

What we will not do: write, buy, incentivise or place reviews. Paid and fabricated reviews breach every major platform's policies, and in India they are addressed directly by the consumer protection authority's guidelines and the BIS standard on online reviews. Platforms detect them through patterns their operators see constantly, and the penalty — badge removal, ranking suppression, delisting, in some cases regulatory exposure — is worse than the rating you started with.

Frequently asked questions

Can you remove a negative review?

Only if it breaches the platform's policy — fake, defamatory, off-topic, or from someone who was never a customer. Those can be reported with a reasonable success rate. Genuine criticism cannot be removed, and attempting it through unofficial routes puts your listing at risk. The workable response is to reply well and to increase the volume of honest reviews so that one bad experience is not the whole picture.

Is it legal to offer customers an incentive for a review?

It is heavily restricted and generally inadvisable. Most platforms prohibit incentivised reviews outright, and India's consumer protection guidelines on fake and misleading reviews, along with BIS IS 19000:2022, address paid reviews directly. Asking every customer for honest feedback is permitted and effective; paying for a rating is neither.

How quickly should we respond to a negative review?

Within twenty-four hours where possible, and faster during an incident. Speed matters less for the reviewer, who may never return, than for the far larger number of prospects who read the exchange later and are judging how you handle criticism.

Should we respond to positive reviews too?

Briefly, yes. It signals that a real organisation is paying attention, and on some platforms engagement affects visibility. Keep it short and specific — a generic thank-you repeated fifty times reads as automated.

What do we do about a coordinated attack?

Document the pattern — timing, account age, wording similarity — and report it to the platform through the official channel, which is what those channels exist for. Do not respond to each review individually as if it were genuine feedback, and do not counter-post. Most platforms will act on a well-evidenced report.
